Options – Snippets location – Shortcut key

Open the Options screen

  • You open the options screen in the following ways:
    • Via the Ribbon Tab INSERT TEXT, Options/Options
    • Via the side pane, click on the button “Options” on the bottom of the pane.

Add or Remove Snippets Folders

  • Add a new folder where you have Snippets stored.
  • Remove a folder that you don’t need. The folder will not be deleted, only it will not be visible anymore inside of INSERT TEXT.

Set the short cut key for showing/hiding the side pane

  • The default short cut key to show/hide the side pane is: SHIFT + INS

Insert Fill-in Fields into Snippets

Insert a new Fill-in Field into your Snippet

  • You can easily insert your own fill-in fields into your snippets.
  • Edit the Snippet you want to edit (Right click/Edit Snippet).
  • Put the cursor where you want to insert the snippet.
  • In the INSERT TEXT Ribbon menu, choose “Insert Fill-in field”
  • In the lower part of the task bar fill in the name of the fill-in field and click “Insert new field”
  • Ready

Insert an existing Fill-in field into your Snippet

  • If you need the same field in more than one location, you can do that as follows
  • In the previous section we inserted a new fill-in field “Customer name” into our snippet.
  • After inserting this field it will show up in the list of existing fields.
  • Put the cursor at the location where you want this field to be inserted as well.
  • Choose the existing field (1) and click “Insert Field” (2)
  • Ready

Organize Snippets

Right click any snippet to edit, rename, clone or delete the snippet.

Edit Snippets

  • After choosing Edit Snippet, the snippet will open the default application for the snippet.
  • Word snippets will be opened with Word, text snippets with your text editor and images with your image viewer.

Rename Snippet

  • Right click, Rename Snippet.
  • Type the new name of the snippet and press OK

Clone Snippet

  • Right click, Clone Snippet.
  • Give the name of the cloned snippet and press OK.

Delete Snippet

  • Right click, delete snippet.
  • After confirmation your snippet will be deleted.

Open Folder in File Explorer

  • Right click, Open Folder in File Explorer.
  • This will open the folder where the snippets is stored on disk.

Creating your own Snippets

It is very easy to create your own snippets.

Snippets are just normal files. Currently we support Word-documents, Plain text files and images as Snippets.

You can add snippets in two ways:

  • Add selected text to a new snippet
  • Add files to your snippets folder

Add selected text as new Snippet

  • Select the text in your Word Document or Outlook Message.
  • Right click on the selected tekst
  • Choose “Add selected text as InsertText Snippet”
    • Remark: You can also select the text and in the Ribbon Tab INSERT TEXT, and choose “Add selected as snippet”.
  • Fill in the details of the new snippet
    • Description: the name of the snippet. Make this name clear to what the snippet contains.
    • Folder: choose the folder where you want to save the Snippet. With folders you can organize your snippets logically.
    • Finally choose “Save with formatting” or “Save text only”. If you want the snippet to contain all the formatting as is, choose the first option. If you are only interested in the text, choose the second option.

Copy existing files in the snippets folder

  • When you have already existing files that you want to use as snippets, you can just copy these files into a snippet folder.
  • Refresh the folders (right click on folders/refresh) and your files are ready to be used as Snippets.

The Snippets side pane – Search, filter and insert snippets

Filter snippets in a folder

  • Snippets are organized in folders.
  • To see all snippets in all folders select the special folder “All snippets” in the folder view.
  • To see only snippets under a folder choose that folder. All snippets in this folder and its subfolders will be shown in the snippets view.

Search snippets

  • Under the folders view you see the snippets in that folder and its subfolders.
  • To search for a snippet, type a part of the name of the snippet you are searching.
  • As soon as you start typing, the list of snippets will be filtered and only snippets in whose name the typed characters are present, will be shown.
  • To add more than one search key, separate them by a space.

Insert space or new line after each snippet

  • When inserting snippets you can automatically insert a space, new line or paragraph after each snippet.
  • This is especially useful when inserting more than one snippet at the time.
  • Beneath the snippets view you see the option “Spacing after”.
  • The options are:
    • None
    • Space
    • New line
    • Paragraph
  • The app will remember your last choice, so the next time you insert another snippet it will use the same option.

Preview the selected snippet

  • You can always see a preview of the (last) selected snippet in the preview window.

What is INSERT TEXT?

INSERT TEXT is a powerful app which allows you to insert blocks of formatted text and images into Microsoft Word and Microsoft Outlook. It is a productivity powerhouse that will save you a lot of time. With a few clicks you can answer e-mails, create contracts, offers, documents and reports.

Displaying or hiding the Snippets side pane

If the side bar with the Snippets is not already visible, follow the following steps to show it.

  • Enable it via the Ribbon.
  • In the Ribbon goto the tab “INSERT TEXT”
  • Click “Insert Snippet” or check “Show snippets side pane”

Or with only the keyboard:

  • Press SHIFT+INS
  • (You can change the default Shortcut key in Options)

The following image shows all possibilities of the side pane in one overview. In this manual we will explain each function in more detail.

Insert Snippets (blocks of text or images)

You can insert Snippets with the mouse or with your keyboard.

Insert Snippets with the mouse

  • Double click on the snippet.
  • Done!

Insert Snippets with the keyboard

  • Type to search your snippet
  • Move with the arrow keys to the right snippet
  • Press ENTER to insert the snippet.

Fill-in fields

  • If the snippet contains fill-in fields the side pane on the right shows the fields to fill-in.
  • Fill-in the fields and click Done.
  • Ready!
